Faxes may be a little rarer since email became available, but this form of communication is far from dead. With many companies and customers still relying on fax machines, you could be missing out on business if you eliminate faxing from your business entirely. But why have a whole separate phone line and clunky machine in case a fax is sent? With online faxing, you can send and receive faxes through your computer, while the person on the other end uses a traditional fax machine. There are a few tips and tricks to keep in mind in order to send online faxes efficiently:
- Have a cover page template – While faxes may arrive in your inbox, remember that the faxes you send will end up in a fax machine. Have a cover page with your business logo to make sure your fax ends up in the right place.
- Check the preview – Before sending the fax, look at the print preview to make sure what will be printed out is formatted how you want. Sometimes what you see on the screen and what ends up on paper can be different if you aren't careful.
- Add fax numbers to your online address book – This will make sending faxes that much easier in the future, particularly if you know you will be working with the recipient again. If you can't remember the fax number, past faxes should be stored in your archives, so you can always find it that way as well.
